What we do with your details

Short version: we use what you send us to quote for your move and to talk to you about it. We do not sell it, and we do not pass it to anyone who is not helping us do the job. Analytics run only if you accept the cookie banner.

Who is responsible for your information

Metro City Moves is the data controller for the information described here. You can reach us at bookings@metrocitymoves.co.uk or on 07346 595376. We do not publish a street address on this site; if you need one in writing, ask and we will give it to you.

What we collect, and when

Most of what we hold is what you typed into a form or told us on the phone. If you accept the cookie banner, Google and Microsoft also measure how you used the site. See Cookies and analytics below.

When you ask for a quote

  • Your name, phone number and email address.
  • The postcode you are moving from, and the one you are moving to if you give it.
  • Which service you need, roughly how much there is, and your moving date if you know it.
  • Anything you write in the notes box.

When you call or email

  • Whatever you tell us, and the number or address you contacted us from.

What we do not do

  • There is no advertising pixel on this site, and nothing measures you before you accept the banner.
  • We do not buy contact details, and we do not sell yours.
  • Nothing you send us in a quote form is used to build a profile, or to make an automated decision about you.

Why we are allowed to hold it

For a quote request, the lawful basis is that you asked us to take steps before entering into a contract with you — Article 6(1)(b) of the UK GDPR. You cannot get a price without telling us where you are moving from.

Where we keep a record after a job for accounting and insurance reasons, the basis is our legitimate interests and our legal obligations. The tick box on the quote form is there so it is clear what you are asking for; it is not the thing that makes the processing lawful, and unticking it later does not oblige us to forget a job we have already done for you.

Who else sees it

The services that help us do the job:

  • Our email provider. Quote requests arrive as an email, so they pass through the company that operates our mail.
  • Our website host. They run the servers this site sits on.
  • Our accountant, and our insurer if there is a claim. Only where it relates to work we have actually completed for you.

And two measurement companies, but only if you accept the cookie banner:

  • Google. Google Analytics receives information about your visit, including which pages you looked at and how you arrived at the site. We never send it your name, phone number, email address or full postcode.
  • Microsoft. Clarity receives a recording of how the page was used, and that recording is stored on Microsoft’s systems rather than ours.

Some of these providers, Google and Microsoft included, are based outside the UK, mainly in the United States. Where that happens the transfer is covered by the UK addendum to the standard contractual clauses, or by an adequacy decision. Nobody else gets your details, and we never sell them.

How long we keep it

We do not keep enquiry details indefinitely. Deletion is a scheduled job running against our database, not a promise to remember. Three separate considerations decide how long a record survives.

  • An enquiry, whether or not it became a job. We keep it while it remains useful to you, because people frequently return a season later with the same move. It is then deleted automatically. The clock runs from our last contact with you, not from your original enquiry.
  • The record of a job we carried out. Tax legislation, or a claim that could still be brought, can require us to keep a record of the work itself. We keep that for as long as the law requires. It is a separate record from your enquiry, which goes on the schedule above.
  • The abuse checks. We hold a scrambled version of your IP address and your browser description, so the quote form cannot be flooded automatically. Those are cleared within weeks rather than years.

We are having the exact periods checked professionally before publishing them, and this page will state each one as soon as it is settled. Meanwhile, ask us to delete an enquiry sooner and we will. The one exception is a record of work we have done that the law requires us to keep.

What you can ask us to do

Under UK data protection law you can ask us to:

  • tell you what we hold about you, and give you a copy;
  • correct anything that is wrong;
  • delete it, where we do not need it for a job, tax or a claim;
  • stop using it for a particular purpose, or restrict what we do with it;
  • send it to you or someone else in a portable format.

Email bookings@metrocitymoves.co.uk. It is free, and we will respond within one month. We may ask you to confirm who you are first, so we do not hand your details to somebody else.

Cookies and analytics

Nothing that measures you loads until you say yes. On a first visit a banner asks one question, and until you answer it no analytics script runs and no analytics cookie is set.

Accept, and two measurement tools load. Google Analytics counts visits and shows us which pages lead to enquiries. Microsoft Clarity replays how a page was used: scrolling, tapping, and which parts of it people never reach. Both set cookies in your browser, and the cookies page lists every one of them, what it does and how long it lasts.

We do not load Clarity on the quote page or the contact page. The quote page is where you type your name, your phone number and the postcodes you are moving between. The boxes on that form are masked as well, so the details you type could not appear in a recording anyway.

Reject, and neither tool loads. Nothing is set, and the site works identically: every page, the quote form and the phone number behave exactly as they would otherwise. Rejecting also deletes the analytics cookies we can reach from this domain.

Your answer is kept in your browser, so you are not asked again on that device, and clearing your browser data brings the banner back. To change your mind, use the control on the cookies page: it switches either way, as often as you like.

The quote form also carries one short-lived technical token, which exists so that the form cannot be submitted by somebody pretending to be you. The cookies page explains it.

If you are unhappy

Tell us first — email bookings@metrocitymoves.co.uk and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint (opens in a new tab)or on 0303 123 1113. You do not have to come to us first.

Changes to this notice

If we change how we handle your information we will update this page and change the date at the top. If the change is significant and we hold your details, we will tell you directly.
